Chairman and body of external examiners
Section 52 of the Examination Order describes the duties which the external examiners' chairmanship is required to perform. The members of the external examiners' chairmanship can mutually agree on a division of responsibilities, if needed.
Below you can read more about the duties of the chairman of the external examiners and the external examiners' chairmanship.
The chairman of the external examiners is responsible for recommending external examiners for appointment.
The application process to the 4-year appointment period 1 April 2018 – 31 March 2022 have been completed.
Appointments for the remainder of the current period 1 April 2018 – 31 March 2022 have to be completed through a pdf form. The appointment notice can be found here.
The chairman is responsible for:
- informing the relevant external examiners about the appointment.
- regularly updating a complete list of the members of the body of external examiners with all relevant information and contact details, and forwarding it to the universities and exam secretaries.
In connection with a new four-year term of appointment, the chairman has to approve a complete list of all who have applied for appointment, including a statement that the composition of external examiners meets the requirements set out in sections 50 and 57. The list is submitted to censorbeskikkelse@hum.ku.dk.
If there is a need to appoint a person for a single exam period in connection with one or more exams in case none of the members of the body of external examiners are able to perform the duty, he or she can be appointed ad hoc. An ad hoc appointment is not a permanent appointment, and the person in question should therefore not be added to the list of members of the body of external examiners. The chairman of the external examiners approves the ad hoc appointment by signing and submitting a completed ad hoc appointment form censorbeskikkelse@hum.ku.dk.
The external examiners' chairmanship is responsible for the election of a new chairmanship for each new four-year term of appointment. The election is held when all external examiners have been appointed to the body of external examiners.
The chairman of the external examiners is responsible for allocating assignments for external grading among the members of the body of external examiners in consultation with the university, see section 52 (1) of the Examination Order. The chairman of the external examiners must ensure compliance with deadlines and formal requirements with regard to the assignment of external examiners for exams and master's theses.
The chairman of the external examiners must communicate new rules, procedures and deadlines for submission of assessments etc. to the body of external examiners, and must inform the external examiners about their duty of notification if they are ineligible to act as an external examiner in a given exam.
The chairman of the external examiners receives reports about the exam procedure from the individual external examiners after each exam period.
At least every other year, the chairman of the external examiners convenes external examiner meetings and contact meetings between the body of external examiners and the academic departmental management at the university. The meetings contribute to ongoing dialogue on the development of the test and examination system, see section 52(3) of the Examination Order. The meetings are one-day meetings; i.e. there are no accommodation costs.
The external examiners' chairmanship is expected to respond to consultations on curricula and significant changes made to programme curricula affecting the test and examination system, see section 52(2)(4) of the Examination Order.
